After careful inspection of the data logs, we discovered the issue: QuickBooks bundles line item information (Product Name, Description, Quantity, SKU) together in a way that Zapier sometimes struggles to "un-bundle" correctly without specific instructions. The original setup was pulling the general product name but failing to isolate the specific SKU data object.
The Solution: Targeted Re-Architecture
The fix wasn't about rebuilding the whole workflow, but performing a precise surgical intervention.
- Re-Mapping the Data Source: We changed the mapping in the ShipStation step to look for the line items in a different, more stable data field provided by the QuickBooks trigger.
- Adding a Formatter Step: We inserted a "Formatter by Zapier" step to specifically isolate and clean the SKU from the line item text, ensuring it was always in the correct format before being sent to ShipStation.
- Thorough Testing: We ran multiple test invoices through the system, for products with and without variants, to confirm that the SKU field was populated correctly 100% of the time.
